There are many reasons why an email you send may end up in the recipient's spam folder (junks, spams) and remain unreadable. Something that can create various problems for the operation of your business, such as order delays, reduced sales, resumption of work, tension, frustration, etc.
You can send the same email to different recipients and only to one or to some and not all, the message will go to spam. This is because the algorithm of each email provider (google, yahoo, microsoft etc) has different filters in order to protect the recipients and automatically decides first if your email will be accepted (if not, it will return you with a message explaining the why) and then whether it will be delivered to the inbox or the spam folder.
What can you do to prevent your email from going to spam?
Content problem
In order for the content of the email to be accepted by the email providers as a secure message and not spam, it is necessary to follow the following rules:
the subject field should not be empty
not contain a plain image with no text or minimal text
not have many spelling mistakes or many capital letters or many symbols
do not include some "dangerous words" in your text, such as the word SPAM
do not send too many images embedded in the text
not have many links
does not have a link to page with HTTP security protocol (it is a common mistake, which appears in corporate signatures that have not changed when the protocol changed to HTTPS)
not have many recipients
Outgoing server settings
It is important that the outgoing mail server is configured in an encrypted connection using SSL (Secure Sockets Layer) and not without encryption.
Actions by recipient
Something that will help, is the recipient to point out to his provider that your email is not spam or even better to add your email to his contact list. If this is done by several recipients (with different IPs), you will definitely get a much better result.
Poor quality IP internet provider
To connect to the Internet, your ISP gives you an Internet Protocol (IP) address.
To find your IP, click here: My IP
To check its quality, click here: Mxtoolbox
If there are red marks, it means that it has been marked for bad actions in the past and has been blacklisted, which affects the sending of your email. You can close your router and reopen it to get a new IP. Try it again, if it is clean. If after several attempts you can not find a clean IP, contact your provider (Cosmote, Vodafone, Wind etc).
Unfortunately most IPs from providers in Greece are usually blacklisted.
Poor Quality Server
Each server has a behavior regarding the emails sent by it, which is recorded by the recipients' servers. If in the past there have been various suspicious or strange actions (spam emails), the server has gained a bad reputation and the control filters are stricter.
The behavior of the server depends not only on your email, but on all the email accounts, all the domain names hosted on the server.
You can check the quality of the server that hosts your corporate email with the following tool: Mxtoolbox
If there are red markings, it means that it has been marked and registered as blacklisted.
It is common for IPs server companies that provide hosting at very low cost to be constantly blacklisted.
